We have an outstanding Contract position for an Operations Support Administrator / HVAC Service Administrator to join a leading Company located in the Ft. Hood, TX surrounding area.

As an Administrator, you will be the backbone of service operations, ensuring seamless coordination between customers, technicians, and internal teams using specialized systems (like G-FIB/Oracle). You will support HVAC service business lines by managing parts, scheduling, and billing to ensure high profitability and customer satisfaction. 

Job Responsibilities:  
  • System Administration & Data Accuracy: Use internal systems (G-FIB/Oracle/Siebel) to create and maintain customer accounts, process service requests, and track project status.
  • Technician Scheduling & Dispatch: Coordinate planned and reactive service work, optimizing technician routes and schedules to meet customer commitments.
  • Parts & Inventory Management: Coordinate van-stock replenishment, track returned stock (RMAs), and order materials for jobs.
  • Billing & Finance Support: Process job payment amendments, create purchase orders (POs), and support accounts receivable (A/R) with collections.
  • Compliance & Safety: Support building warrant of fitness (BWOF) requirements, maintain safety training records, and ensure proper documentation for HVAC compliance.
  • Customer Interaction: Act as the main interface between customers and engineers, preparing communications and resolving inquiries. 

Basic Hiring Criteria:
  • High School Diploma or equivalent (Associate Degree preferred).
  • Experience: 2-5 years of administrative experience, ideally within a technical service industry (HVAC).
  • System Knowledge: Proficiency in CRM tools (SalesForce, Siebel) or ERP systems (Oracle, G-FIB).
  • Technical Aptitude: Experience with inventory management, parts ordering, or service scheduling.
  • Computer Skills: Advanced MS Office (Word, Excel, PowerPoint).
