Position Overview
PDS Defense, Inc. is seeking a highly organized and proactive Administrative Assistant 6 to support our dynamic Talent Acquisition team. In this role, you will serve as a Talent Acquisition Coordinator, providing essential administrative and operational support that ensures a seamless recruiting experience for candidates and hiring teams. You will report to the TA Operations Manager/Lead and play an integral role in helping drive efficient, high‑quality recruitment processes across the business.
Key Responsibilities
- Coordinate and schedule interviews across multiple time zones, aligning availability among candidates, recruiters, hiring managers, and interview panels.
- Manage complex scheduling logistics including panel, executive, and high‑volume interview calendars.
- Serve as the primary point of contact for candidates, delivering timely updates, clear instructions, and an overall positive candidate experience.
- Arrange candidate travel (flights, hotels, transportation) and create seamless itineraries for onsite or final‑stage interviews.
- Process and track candidate expense reimbursements in accordance with company policies.
- Prepare and distribute interview agendas, candidate profiles, and evaluation materials.
- Maintain accurate candidate records and status updates within the Applicant Tracking System (ATS), as appropriate.
- Contribute to improving interview scheduling workflows and tools to increase efficiency and reduce time‑to‑schedule.
- Track and report coordination metrics to support recruiting operations insights.
- Identify gaps and propose enhancements to elevate the candidate experience.
- Assist with additional Talent Acquisition administrative tasks as business needs evolve.
- Ensure all recruiting and hiring practices comply with local, state, and federal employment laws, as well as OFCCP and EEOC guidelines.
Minimum Qualifications
- High school diploma/equivalent and 8+ years of relevant experience, OR
- Bachelor's degree and 4+ years of relevant experience
Preferred Qualifications
- 1-2 years of experience in Talent Acquisition coordination, administrative support, or heavy calendaring/meeting scheduling.
- Advanced proficiency with Microsoft Office (Word, Excel, Outlook) and strong internet research skills.
- Experience using Workday or similar HR information systems.
